Client Services Coordinator

The Institute for Health and Recovery (IHR) is a statewide service, research, policy, program development and capacity building agency. IHR designs its services based on an understanding of the impact of trauma. IHR’s mission is to develop a comprehensive continuum of care for families, individuals, youth and pregnant and parenting women affected by alcohol, tobacco and other drug use, violence/trauma, mental health challenges and other health issues. IHR’s CARF accredited treatment programs provide holistic interventions for hard to reach and high-risk individuals and families.

Summary Statement

The Client Services Coordinator will provide essential support to the ATR Program in the Boston Office, and other duties as necessary. Massachusetts Access to Recovery (MA-ATR) is a federally-funded program designed to give people with substance use disorders wider access to community services to help them on the road to recovery. The Massachusetts Access to Recovery (ATR) program is designed to support individuals in early recovery or those individuals needing assistance to stabilize their lifestyle at a particularly vulnerable time. ATR will provide services that support entry into the recovery community and provide recovery support services to strengthen and enhance any clinical treatment services a person has or is receiving.

Essential Functions

Point of contact for Access to Recovery referral portals and clients:
  • Coordinate the intake process by taking fax referrals from portals and scheduling client appointments and waitlist.
  • Provide phone/front desk coverage for agency’s incoming calls, receiving and directing in-person clients and visitors
  • Work closely with portals/referring agencies through the intake process.
  • Provide follow up with clients for appointments.
  • Compile demographic and intake information, edit, and/or submit reports for programs.
  • Coordinate the ordering, processing and billing of MBTA T-Passes and Charlie Cards monthly.
  • Coordinate the ordering and processing of gift cards for client disenrollment.
  • Office supply inventory and ordering.
Provide administrative support to programs, clinicians and program directors. Examples of duties may include:
  • Reserve and organize room set-up/breakdown for meetings and special events.
  • Send fax and make photocopies.
  • Assist with special projects related to funding/licensing/accreditation compliance.
Other support as assigned by Operations Manager and ATR Program Director
  • Communicate with IHR’s main office in Cambridge through use of shared online calendars, sign in-out board, time sheets, and check in/out with supervisor
  • Attend team and agency staff meetings
  • Regular attendance and punctuality is required

Qualifications/Requirements

  • Bachelor’s degree or equivalent experience preferred
  • Bi-lingual individual strongly preferred
  • At least 2 years of professional office experience (non-profit experience preferred)
  • Thorough knowledge of MS Office, especially in formatting and troubleshooting
  • Experience working with databases to enter and manipulate data
  • Superior attention to detail and organizational skills
  • Strong sense of responsibility and ownership of projects
  • High-energy; productive, proactive, and reliable; ability to multi-task
  • Ability to prioritize requests and resolve problems
  • Must possess polished, mature communication skills (written, verbal, phone manner, etc.)
